Your privacy
Swift Kingdom is one person, one copper pot and one small kitchen in Hakata, so this policy is short on jargon and long on specifics. It explains what we learn about you when you browse the site, write to Daiki, order a jar, or sign up for the monthly box, and what we do with it afterwards. If a sentence here does not match what you have experienced, tell us and we will fix the sentence or the practice.

Who is responsible
The person responsible for your information is Daiki Fukuda, who runs Swift Kingdom from the kitchen at 〒812-0011 福岡県福岡市博多区博多駅前3丁目9-14 in Fukuoka. There is no marketing department and no outside agency reading the inbox. When this page says "we", it means Daiki and, in the busiest weeks before Ochugen and Oseibo, the one helper who packs boxes and is bound by the same rules.

What reaches us when you write
The contact form on this site does not send anything by itself. It opens your own email program with the message filled in, and nothing arrives until you press Send there. What we receive is whatever you typed: your name, your email address, optionally a phone number, and your message. We do not need your birthday, your occupation or your reason for liking persimmons, and the form does not ask for them.

Orders, boxes and gift sets
To send you a jar we need a name, a delivery address and a phone number the courier can ring if nobody answers the door. For the monthly subscription box we also keep your chosen delivery week for as long as the subscription runs. For gift sets we need the recipient's name and address as well, which means we hold the details of someone who never spoke to us. We use those details only to pack and send that parcel, and we never write to the recipient.
We do not ask for card numbers by email and we do not copy them into the batch notebook or any spreadsheet. Whatever payment method you use at the time of ordering is handled by that provider under its own terms, and what comes back to us is a confirmation that the amount arrived.

Cafes, shops and wholesale
Wholesale customers in Fukuoka and Kitakyushu give us a business name, a contact person, a delivery address and an invoicing address. We keep these for the standing orders of 12 jars per variety and for the invoices that follow. If you stop ordering, the contact details are removed after the last invoice has been settled, apart from the records we must keep for tax.

Handwritten cards and custom labels
Gift sets travel with a handwritten card, and custom label text can be requested. The wording you give us is copied by hand onto the card or label and then deleted from our mail. We do not keep a list of what people said to whom at weddings or at Oseibo, and a card that is spoiled is torn up, not filed.

How we use it
Everything you send is used to answer you, to pack and ship your order, and to keep the books straight. We do not build customer profiles, we do not score you, and no decision about you is made by software. Updates by email are not sent unless you asked for them, and the "Follow us" form on the articles page adds you to that list only for as long as you want to be on it.

Local storage
This site sets no analytics or advertising cookies and loads no tracking scripts. The one thing it writes to your browser is a small note, kept in local storage, that you pressed "Got it" on the cookie notice so the banner does not return on every page. Clear your browser data and the banner comes back, which is the only side effect.

Couriers and other helpers
Your delivery details go to the courier that carries the parcel, because the parcel cannot arrive otherwise. Our email provider and our bookkeeper also handle some of the information as part of their work, and both are held to confidentiality. Nobody receives your details for advertising, list rental or "partnerships", and nothing is passed on in aggregate form either. The only other exception is a request from a public authority that the law obliges us to answer.

How long we keep it
Ordinary enquiries are deleted once the conversation is finished. Delivery details for a one-off order are kept until the parcel has arrived and the window for complaints has passed, normally a few weeks. Invoices, receipts and the records that Japanese tax and commercial rules require are kept for as long as those rules say, which can be up to seven years, and they are stored without the free text of your messages. The batch notebook, with its 340-odd entries about fruit, sugar and cooking time, contains no customer information at all.

Where it is stored
Correspondence sits in one password-protected mailbox, and delivery lists live in a single file on the kitchen computer, which is locked when Daiki leaves the room and backed up to an encrypted drive. Printed packing slips are shredded after dispatch. No system is perfectly safe, so if we ever learn that your details have been exposed, we will tell you directly and report it as the law requires.

Your rights under the APPI
Japan's Act on the Protection of Personal Information (APPI) gives you the right to ask us to disclose the personal data we hold about you, to correct it if it is wrong, and to stop using or delete it when the law allows. Send the request to hello@swift-kingdom.com from the address you used with us, or by post to the address above. We will confirm that it is really you, answer within a reasonable time, and charge nothing for a simple request. If you are unhappy with the answer, you may also contact Japan's Personal Information Protection Commission.

Changes to this page
If the way we handle your information changes, for example because we add a shop checkout or a new courier, we will update this page before the change takes effect and alter the date at the top. Older wording is not kept online, but we can send it to you on request.
